Resource rental and time slots
This article complements Services, availability, and bookings and Guest booking and payments. It covers the Resource rental service type — bookings on a time slot (start → end) with a variable duration and an assigned resource (room, court, machine), without a staff performer.
Plan: Resource rental is available from Growth and Pro (and during a trial if your plan includes it).
What this type is for
Section titled “What this type is for”Resource rental fits:
- conference rooms, studios, sports courts, and hourly spaces,
- equipment or vehicle rental where the guest picks how long they need the item,
- several identical units on one catalog service (e.g. three meeting rooms) or separate services per class.
Unlike 1:1 appointments: there is no performer on the booking — collisions are calculated per resource. Unlike accommodation: the guest books start time + duration, not check-in → check-out nights.
Structure in the dashboard
Section titled “Structure in the dashboard”| Piece | Where in the app |
|---|---|
| Resources | Resources in the business menu — add, edit, and remove units (name, location, optional gap after return). |
| Catalog service | Services → type Resource rental — guest-facing offer (e.g. “Meeting room rental”). |
| Linking | Attach one or many resources to the same service. |
| Rental rules & pricing | Resource service editor → General and Pricing — min/max/step duration, price unit (per hour / per chosen window), catalog mode (price on each resource), default gap after return. |
| Guest booking flow | General → Guest booking flow — Calendar first (default) or Resource listing. |
After creating a resource rental service, the app opens this dedicated editor — the generic 1:1 editor does not include rental duration fields.
If your business uses the Resources operation profile, onboarding guides you through the first resource and service; the weekly staff Availability menu is hidden — opening hours for pickup/return are configured separately (see below).
Pricing
Section titled “Pricing”Pricing lives on the service:
- Price amount — base rate interpreted by price unit:
- Per hour — total = hourly rate × booked hours (pro‑rated to duration),
- Per slot — flat price for the chosen duration window.
- Min / max / slot duration — e.g. 60–240 minutes in 60-minute slots (unit can be minutes, hours, or days).
- Default buffer after return — optional gap before the same resource can be booked again (resource can override).
Coupons, deposits, pay-on-site, bank transfer, and Stripe online payment work like other service types.
Catalog mode (price per resource)
Section titled “Catalog mode (price per resource)”When you choose Price per resource (catalog) in the service editor:
- Payment type, deposit, and coupons still come from the service; rates live on each resource.
- The guest picks a shared time window (date, start, duration, or day-rental range), then a cart — multiple line items × quantity (e.g. scaffolding × 2, helmet × 5).
- The system creates one order with several booking lines; payment, bank transfer, and emails apply to the whole order, not a single line.
- The dashboard list and detail views show a catalog-order label and line count.
Staff can place the same order manually in Create booking — same schedule calendar and item cart.
Time units: minutes, hours, days
Section titled “Time units: minutes, hours, days”In the service editor you set the duration unit (minutes, hours, or days):
| Unit | Guest UX | Example |
|---|---|---|
| Minutes / hours (same-day return) | One date → pickup time → return time | Meeting room 2 h, court 90 min |
| Days (multi-day rental) | One click = that day for pickup and return; a later click extends the range → pickup time → return time | Car, construction equipment |
For same-day return, the guest selects one date, then pickup and return times separately. For multi-day rental, the first click books that calendar day; a second click on a later date extends the stay. After the range spans two days, the next click starts a new range. Staff uses the same layout in Create booking and Reschedule.
Note: return on Saturday/Sunday is unavailable when opening hours are weekdays only — the system offers the next business day.
Quantity stock
Section titled “Quantity stock”On each Resource you can enable stock tracking:
- Stock quantity — how many units of that item are in the pool.
- Min / step quantity — e.g. scaffolding min. 20 pcs, step 5.
- Occupancy is counted in the chosen window; the guest sees max available quantity in the catalog cart or single-resource booking.
Without stock, each resource is treated as one unit (room, court).
Guest booking flow
Section titled “Guest booking flow”In the service editor General tab you choose how guests move through the booking page:
Calendar first — default
Section titled “Calendar first — default”The typical catalog mode — one service can have many resources (e.g. three meeting rooms):
- Guests do not see a full equipment list upfront — you avoid “picked a room → no slots”.
- Order: date → start time → duration → resource (resource step only when more than one linked unit is free in the chosen window).
- With a single linked resource, the resource step stays hidden.
Resource listing
Section titled “Resource listing”A dedicated product mode — similar to accommodation: the guest already knows what they book:
- In the dashboard you attach exactly one resource (single select, not multi-select).
- The service page is a landing for that item (name, location, description, and photo from the resource record).
- Order: product (known) → date → start time → duration → quote → checkout — no multi-resource picker.
- In the business hub, each such service is a separate card (e.g. many excavators = many listing services).
When to use which
| Scenario | Recommended flow |
|---|---|
| Several rooms / courts under one “Room rental” offer | Calendar first |
| A specific excavator, car, or machine as its own offer | Resource listing |
| Many identical units — guest picks time first, then a free unit | Calendar first |
When switching to Resource listing, the app keeps only the first linked resource if you previously had more than one.
Availability and slots
Section titled “Availability and slots”- Opening hours — in the panel: Resources list → Opening hours (or the shortcut on the business hub). Use the Day / Week toggle and weekday checkboxes to save recurring windows with no staff member assigned.
- No hours configured — if you leave opening hours empty, guests see slots around the clock.
- Collisions — pending and confirmed bookings block the resource from start to end plus the gap after return.
- No weekly staff schedule — staff hours do not create resource slots (same idea as accommodation stays).
Minimum lead time and guest booking horizon follow the business settings.
Guest flow (public page)
Section titled “Guest flow (public page)”Shared steps for both flows (order details — see Guest booking flow):
- Choose the resource rental service (or a direct link / embed).
- Date — calendar with days that have at least one valid slot (for days: pickup calendar, then return).
- Start time — available starts for the selected day.
- Duration or return date — allowed lengths (min/hours) or day-rental range from start.
- Resource — only in Calendar first mode when more than one free unit is linked; in Resource listing the product is shown upfront.
- Cart — only in catalog mode: quantities per resource in the chosen window.
- Live price quote, then contact details — phone often required; correspondence address mandatory for guests.
- Consents, optional online payment / deposit / bank transfer — same as other types; for catalog orders payment covers the whole order.
Guests may reschedule (new date, start, duration or day range, optionally another resource) from the email link — within the self-service window you set. Catalog orders (several items) are rescheduled together. See Reschedule and cancel bookings.
Bookings in the dashboard
Section titled “Bookings in the dashboard”- List / schedule — time range (from → until), resource name, location; catalog orders show a group label and line count.
- Booking detail — resource, duration, price, correspondence address; catalog lines show quantity (
× N). - Create booking (staff) — schedule calendar (including days: pickup → return), resource picker or cart, optional payment and price adjustments.
- Reschedule (staff) — same fields, including extending return on day rental; guest receives the standard reschedule notification.
How it differs from other types
